Job Description:

The City of Long Beach, Department of Health and Human Services, is recruiting for a full-time, unclassified Secretary position in the Collective Impact Bureau. Reporting to the Collective Impact Bureau Manager, this position will be responsible for providing administrative support to the Collective Impact Bureau Manager, and the Bureau’s programs and staff. This position is a in-person position and will be located at the Main Health Department, 2525 Grand Avenue, Long Beach, CA 90815

Job Responsibilities:

  • Performs various clerical functions, including copying, scanning, compiling, and filing documents and coordinating document storage and destruction with the City Clerk;
  • Arranges appointments and manages calendars for Bureau management;
  • Plans, schedules, and coordinates monthly meetings, conferences, workshops, and auditing activities;
  • Compiles information and data for use in preparing records, reports, and grant documents;
  • Drafts, prepares, and/or processes a variety of administrative materials, including letters, memoranda, reports, applications, and records;
  • Screens and prioritizes requests of Bureau management and staff;
  • Composes correspondence, reports, and notices, including correspondence to outside organizations and the public;
  • Coordinates and tracks the workflow of several Bureau processes, including requests for purchase orders, invoice payments, and expense reimbursements;
  • Receives and screens office correspondence, including mail, email, and phone calls;
  • Serves as Bureau liaison to vendors providing services to the Bureau’s operations and support;

Job Requirements:

  • High School Diploma, GED or equivalent certification.
  • Willingness and ability to work some evenings and weekends as needed.
  • Bachelor’s Degree in Public Administration, Business, Public Health, or a closely related field (*proof required)
  • Valid motor vehicle operator license. (Required to obtain a California motor vehicle operator within 6 months of employment if license if out of state. DMV K4 Driver License Information Report required during onboarding for California residents).
  • Five years of professional experience performing progressively responsible clerical functions in an office setting.
