Job Description: The Senior Executive Assistant is responsible for supporting the CEO and President through a combination of high-level administrative and relationship support functions. The Senior Executive Assistant will support the CEO and President by managing their calendar, assisting with travel arrangements, meeting preparation and logistic, facilitating communication with internal and external parties, and maximizing the efficiency of their schedule. This fast-paced role coordinates special projects, works independently or with senior leadership and their President’s Office colleague. Interfaces with customers, stakeholders, and public officials and staff including members of Congress, senior representatives of state, local or federal government agencies and/or private sector companies. This position requires a very detail-oriented personality, and our ideal candidate has at least five years of experience in a fast-paced, large public or private sector organization supporting an executive-level individual or team. Sensitivity to confidential matters, trust, stellar judgment, a high level of professionalism, tact and diplomacy are paramount. Job Responsibilities: Assists in coordinating activities between Amtrak and various outside parties including corporations, other organizations, foundations, and local and state elected officials. Drafts and edits various documents including internal/external correspondence. Creates and maintains files, reviews drafts and finished documents for accuracy and grammar, including documents of a sensitive or confidential nature. Assumes responsibility, in the CEO’s and President’s absence, for ensuring requests for action or information, which would normally receive the CEO’s and President’s attention are made known to responsible managers or personnel who can satisfy the request. Monitors resulting activity for purposes of briefing the CEO and President. Provides analytical and specialized administrative support to relieve CEO and President of and/or assist with complex details and advanced administrative duties. Coordinates with the President’s Office Senior Manager colleague to manage the CEO’s Office. Supports other partnership team members, particularly executive-level staff as necessary. Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team. Keeps abreast of Executive’s immediate and long-term commitments and plans; identifies conflicts, flags problems for intervention and corrects course as appropriate. Demonstrates an ability to interact with persons of all backgrounds, cultures, and affiliations within all levels of government, business, or any other entities. Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO and President, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgment to reflect CEO’s and President’s style and organization policy.
